CMMS Software UK: Buyer’s Guide 2026

Updated: Aug 31
A CMMS is basically the operational memory for maintenance. IBM defines it as software that helps automate and improve maintenance operations, document activity and manage workflows. The practical question is whether your maintenance operation is complicated enough to need one.
What a CMMS should connect
Assets and locations
Reactive work requests and work orders
Preventive-maintenance schedules
Labour and technician activity
Parts and stock where needed
Failure and maintenance history
Reports that help you change the maintenance plan
When spreadsheets start losing
A spreadsheet can be perfectly adequate for a small, stable asset base. It starts struggling when several people update work, recurring tasks need to generate reliably, assets have long histories and managers need to know what is overdue without asking around.
Safety and maintenance overlap
HSE requires work equipment to be maintained in an efficient state, in efficient working order and in good repair. A CMMS can support the record and planning side of that, but the system does not make an unsafe maintenance process safe by itself.
Test the failure
Do not demo only preventive maintenance. Log a breakdown, assign it, add parts, close the work, reopen it and then review the asset history. Maintenance systems earn trust when something goes wrong.
Bottom line
You need a CMMS when maintenance is an operational process that must be scheduled, recorded and improved — not simply because “digital maintenance” sounds modern.
